We start with the path of a conversation

When messages arrive through several channels, the problem may lie in the queue, the information or the handoff. We follow how a request arrives, who responds, which systems they consult and how it ends. This shows where an agent could help.

The initial scope covers one channel and a defined set of topics. It may include common questions, triage or scheduling, depending on the available tools and approved rules. AI customer service needs someone responsible for its operation and a knowledge base the team can maintain.

What we build with your team

Each capability addresses an identified need. The implementation can connect WhatsApp through its official API, email or website chat to the tools your team uses.

Answers grounded in information
Organized, approved information, defined topics and questions that require human review.
Actions within clear limits
Triage, lookups and record updates with defined permissions. Actions requiring confirmation are separated from those the agent can carry out.
Handoffs with context
Routing criteria, a responsible person and the history needed for someone to continue the conversation.

Prepare the operation before introducing the agent

Before making the workflow available to customers, we assess answers, actions and handoffs in controlled scenarios. Unanswered questions, failures and requests outside the scope are part of that review. Acceptance criteria are agreed with your team.

The delivery includes the service workflow, agent configuration, agreed integrations and an operating guide. We also define which records to monitor and how to review the knowledge base. Automated service needs ongoing attention: an answer that appears correct may still need correction.

An example in practice

Fictional scenario, not a client case: a clinic receives confirmation and rescheduling requests while reception staff attend to patients. The proposed workflow identifies the request, checks permitted slots and asks for confirmation before changing the appointment. Clinical questions and complaints go to the team with the conversation context.

What to measure is defined before the test: completed requests, corrections required and conversations handed over. The decision to expand the agent depends on those findings, not simply the number of messages answered.
